Understand Team roles

Assign Owner, Admin, Editor, Viewer, and Guest according to the work each person should perform.

  • Sign in and confirm the active workspace.

Before you start

Workspace roles govern member and workspace capabilities; document access can still be more restrictive. Current roles are Owner, Admin, Editor, Viewer, and Guest. Older memberships stored as User retain Editor-equivalent rights while upgraded.

Complete the task

  1. Open Team workspace settings and the member list.
  2. Review the person's current role and required tasks.
  3. Choose the least-privileged role that supports those tasks.
  4. Save the change and ask the person to reopen the workspace if their interface is stale.

Check the result

Workspace actions update for the member, while restricted documents continue to require explicit document access.

  • Owner has every workspace capability and is the only role that can assign or change Admin roles.
  • Admin can manage non-owner members, create and edit workspace-visible resources, export, manage workspace security, rename the workspace, and view usage.
  • Editor can create, read, and edit workspace-visible resources.
  • Viewer can read workspace-visible resources.
  • Guest can see the member directory but needs explicit access for Restricted document content.
